Genealogy societies can deal with a huge amount of data, and if their current system isn’t equipped for this it can make inputting it highly time consuming for the administrators. This was exactly the issue The Norfolk Family History Society were having. They have more than 4 million records and the structure of their system made adding new ones very time consuming for the volunteers who added them in. They needed a simpler way of organising their data, which is exactly what our system, Cubane, provided for them. We imported their old data into Cubane where it was laid out in a way that was much easier to manage, and adding new records was more efficient.
How does it work?
Cubane is an admin area that works behind the scenes of a website that we would create for you as part of the package. Cubane is highly powerful and has the features of other admin areas, such as the ability to add pages that are fully customisable by you etc, but it is also specialised to importing and modifying data for genealogy societies. It allows you to:Set up parishes and data types
Within Cubane you can set up an unlimited amount of Parishes and data types. An example of a data type would be baptisms, burials etc. You can easily edit or delete these at any time.
Add unique columns to your data type
Your data would be displayed in a table format on your webiste, and each data type can have unique columns in the table. For example, weddings could have a license column that can be populated with that data, while baptisms wouldn’t have this data so this column wouldn’t display. You can have as many or as few columns as you want for each data type.
Easily add your records and assign them to your data types
Add data records in Cubane and then use a dropdown menu to select which data set and Parish it belongs to. You can then fill in the unique columns for this data set. This will then show up on your website.
What do societies think of our system?
With aid of Genealogy Online’s Cubane admin tool, uploads are now much easier than before with titles and years extracted from the CSV data and while at first Cubane may appear very complex with the multitude of tasks it performs, individual tasks are quite intuitive and quickly performed.
From a personal point of view being responsible for uploading and updating records, use of the new admin software has made it so much easier than previously was the case, our society now approaching 4 million records.
